Who are we?
Merqent is an AI-driven recruitment screening tool. Companies use Merqent to offer applicants a structured AI screening conversation and to support recruiter reviews. The data controller is the organization that created the vacancy. Merqent processes candidate data on behalf of that organization as a processor.
What data do we process?
- →Name, email address and if provided phone number, location, LinkedIn, availability, salary expectation and optional CV information
- →Roles you apply to, recruiter notes and stage in the hiring process
- →Answers and transcript from the AI screening conversation
- →AI-generated scores, summaries, competency observations, CV question focus and recommendations
- →IP address and technical session data for security
Legal basis and purpose
Data is processed for application assessment, candidate communication, security and delivering the recruitment software. For public applications we ask for consent before the AI screening starts. Employers can also add candidates themselves based on their own hiring basis, such as legitimate interest or pre-contractual steps. Security logs are processed based on legitimate interest.
CV analysis for interview questions
If you upload a CV, Merqent uses the text to prepare relevant interview questions. The CV analysis is meant for question personalization and human review, not for automated rejection or automated ranking. Sensitive or irrelevant data such as photo, age, nationality, health or family circumstances should not weigh into the assessment.
AI screening and human review
AI scores and recommendations are tools for recruiters. Merqent is not designed to automatically decide whether someone is hired or rejected. The employer must carry out a human review before a decision with impact on you is made. You can always ask for a human reassessment via privacy@merqent.com.
Recipients and subprocessors
Your data is visible to authorized users at the employer managing the vacancy. For hosting, database, email, payments and AI functionality Merqent uses service providers such as hosting and database providers, Resend for email, OpenAI for AI processing and Stripe for payments. If data is processed outside the EEA, this only happens with appropriate safeguards such as processing agreements and standard contractual clauses where required.
Retention period
Candidate data is retained for up to 12 months after the candidate profile is created, unless the employer deletes it earlier, you submit a deletion request yourself or a longer retention period is legally required. Deletion links expire after 24 hours; used and expired deletion records are cleaned up periodically.
Your rights
You have the right to access, rectify, erase, restrict, transfer, object and withdraw consent. To exercise your rights you can contact privacy@merqent.com. You can also file a complaint with your local data protection authority.
Withdraw consent
If you gave consent for the processing of your personal data via a public application, you can withdraw that consent at any time. Because consent is the sole legal basis for your candidate profile, withdrawal results in permanent deletion of your data. Use the form below or email privacy@merqent.com.
